How to Remove MileBug Backups from your iPhone

An iPhone MileBug user wrote in asking if there was a way to remove old backup files from his iPhone. There certainly is, and such, I thought there may be others out there wondering the same questions.

WARNING: For either answer, DO NOT DELETE "appData.mbdata"

Short Answer: via iTunes File Sharing.

Step-by-step answer:

1) Connect your iPhone to your computer, open iTunes, select your iPhone listed on the left

2) Choose "Apps" on the top and scroll down to "File Sharing"

3) Select MileBug and you'll see your backup files listed on the right

4) Select the files you wish to delete and hit "Delete" on your keyboard

5) DO NOT DELETE "appData.mbdata" as this is your current working database for MileBug

Start the New Year right by tracking your trips!

Welcome to 2012! Even though it's potentially a few months before you start putting together your taxes for 2011, right now is the time to start your 2012 taxes the right way by tracking ALL your business miles, charity miles, and medical miles. And MileBug is here for you to do just that.

How does $1000 tax deduction sound?
The IRS left the very nice tax deduction rate for business miles at $0.555/mile. That's $5.55 for every 10 miles you drive your personal vehicle for business purposes. If you average 10 miles per trip, and 2 trips per week, that's over 1000 miles on the year for a very respectable tax deduction of over $550! If you drive more than a couple trips per week and they average more than 20-30 miles or more, then you're looking at well over a $1000 deduction. And who couldn't use that?

"Favorite Trips" make logging the short trips easy and thus profitable, too!
What about the little trips? The short trips to the supply store, or to the post office? Too much hassle? Not with MileBug. And the little trips add up, too. Set up a Favorite Trip for each of these common outings, and it's a quick few taps to log the trip. Two to three miles here, 3-4 miles there...and you have another hundred or more on your tax deduction.

IRS Announces 2012 Tax Deduction Rates

OK, they've finally posted the new rates! Very little change from the mid-2011 rates. Here's an excerpt from the official IRS.gov website:

"Beginning on Jan. 1, 2012, the standard mileage rates for the use of a car (also vans, pickups or panel trucks) will be:

55.5 cents per mile for business miles driven
23 cents per mile driven for medical or moving purposes
14 cents per mile driven in service of charitable organizations

The rate for business miles driven is unchanged from the mid-year adjustment that became effective on July 1, 2011. The medical and moving rate has been reduced by 0.5 cents per mile."

IRS 2012 Mileage Rates Will Be Announced in December

Every year the IRS updates the rates at which we can take a deduction for miles driven for business, charity, or medical reasons. Typically these rates are announced in early December. So hang on for another couple weeks and we'll have those for you.

We will also publish new versions of MileBug for all platforms that incorporate these new rates. Look for that update and you'll good to go with plenty of time before the New Year.

MileBug 2.1.3 Now Released for iPhone

Just a little maintenance release, but it comes with a couple nice improvements:

1) For new users, it's the Number Pad that's first used to enter odometer readings. You can still change to the spinner/picker in the Presets tab under Settings.

2) Quick return on select. Now when you choose the business, or destination, or purpose, you're automatically returned to the Add Trip screen. No more tapping Save to return. Just a little efficiency some users have asked for.

Transfer Data from Lite to Full

Thanks for upgrading! You're really going to enjoy the GPS tracking.

So let's get your data moved over from Lite so you're good to go. The short answer is that there's a tutorial inside MileBug on the Backup tab at the bottom. Just click "What is iTunes File Sharing?", and then click "How to use File Sharing with MileBug". (see screenshots to the right and below)

Here's some detailed steps to help you with this simple process:

FIRST: Backup MileBug Lite Data to Your Computer

1) Open MileBug Lite and select the Backup tab at the bottom

2) Tap the "Back up and Sync" button

3) Connect your iPhone to your computer and move the backup data file to your computer using iTunes File Sharing (see the tutorial inside MileBug mentioned above - screenshot below)

THEN: Load Lite Data file into full version of MileBug

1) Use iTunes File Sharing to put your Lite data backup file into the full version of MileBug

2) Launch MileBug (full) on your iPhone.

3) Select "Restore From Backup"

4) Choose the backup file in the picker from step 1 (probably only one there)

5) Tap "Restore Data"

That's it! Remember, the iTunes File Sharing is how you can always make a backup of your MileBug data. We recommend doing this on a monthly basis, and always doing it before you upgrade either the iOS or MileBug.

GPS Mileage Tracking with MileBug 2.1 - Published on 10/04/11

iPhone, Nexus One and Android Mileage Tracker | MileBug | iPod Touch Mileage and Expense Tracker

American Fork, Utah - The popular iPhone mileage log application, MileBug, has full path tracking with map display with the latest version 2.1.

When adding a new trip, select "GPS Tracking" under the odometer readings on the Add Trip screen. This will slide on a Map View and show your current location. Simply tap "Start Tracking" and MileBug will drop a pin every time you move more than 1/10 mile. You can return to Add Trip and fill in the rest of the information, save it, and even leave MileBug to open other apps. As long as MileBug is running in the background (which it does by default), it's tracking your trip.

At any time, you can open the Trip and return to GPS Tracking and see your path on the map. Your path is drawn on the map, with dragable pins every 1/10 mile. To edit your path, you can drag pins around, remove pins, even add new pins. If you happen to forget to turn off GPS tracking when you arrive at your destination, you can easily trim your path to the correct pin when you do remember.

Full Path GPS Tracking is in the full version only. MileBug Lite GPS is only "as the crow flies" and does not include map display.

Since the 2.0 version, Lite users may transfer their data the full version via iTunes File Sharing. Easy to follow instructions are included in the Backup tab inside the MileBug app.

IRS Increases Mileage Rate to 55.5 Cents per Mile

For the second time in three years, the IRS is making a mid-year increase in the deduction rates for miles driven for business and medical/moving. It's a nice little healthy jump too! For July 1st through December 31st:

Business rate is now 55.5 cents/mile (up from 51)
Medical/Moving rate is now 23.5 cents/mile (up from 19)
Charity rate remains the same at 14 cents/mile

Quick HOW-TO for MileBug Beginners

Here's a repost of a blog entry from last January that I thought might be helpful again:

First understand that the general idea is that you open MileBug right when you get in the car to go somewhere. You add a trip, enter the data including the starting odometer reading. Then you close it up and drive to your destination. When you arrive, open MileBug and it will automatically take you to the incomplete trip where you now simply enter the ending odometer reading and hit Save. Voila! Now it's in your Trip List.

For the simplest case, focus only on the Trips tab. Don't worry about the others right now. On the top right, there's a "+" button. Simply tap that to add a new trip. You'll see a new screen slide on with different fields for information about the new trip you're about to take. Simply tap on each one to either choose or enter the data for that field. For fields like Business, Destination, Vehicle, etc. you'll be adding a new one to the system by tapping "Add Preset" at the top of the screen that appears when you select Business or one of the others. Simply add the new one, and it will now appear in your set of Businesses, Vehicles, etc. that you can choose from for this trip and all future trips.

If you want to customize a few things, you can do this in the Presets tab. There you can choose among different settings, as well add/edit/move/delete your set of Businesses, Vehicles, Expense Categories, etc. Keep in mind that each business has it's own set of Destinations and Purposes.

IRS Announces 2011 Standard Mileage Rates

WASHINGTON — The Internal Revenue Service today issued the 2011 optional standard mileage rates used to calculate the deductible costs of operating an automobile for business, charitable, medical or moving purposes.
Beginning on Jan. 1, 2011, the standard mileage rates for the use of a car (also vans, pickups or panel trucks) will be:

51 cents per mile for business miles driven
19 cents per mile driven for medical or moving purposes
14 cents per mile driven in service of charitable organizations

The standard mileage rate for business is based on an annual study of the fixed and variable costs of operating an automobile. The rate for medical and moving purposes is based on the variable costs as determined by the same study. Independent contractor Runzheimer International conducted the study.

A taxpayer may not use the business standard mileage rate for a vehicle after using any depreciation method under the Modified Accelerated Cost Recovery System (MACRS) or after claiming a Section 179 deduction for that vehicle. In addition, the business standard mileage rate cannot be used for any vehicle used for hire or for more than four vehicles used simultaneously.

Taxpayers always have the option of calculating the actual costs of using their vehicle rather than using the standard mileage rates.

Revenue Procedure 2010-51 contains additional details regarding the standard mileage rates.

Odometer Fix submitted to Apple

Thank you all for making us aware of the odometer bug when upgrading to iOS 4.2.1. We have fixed the problem and submitted an update for Apple's review. This new release was submitted on Tuesday, November 23rd, and we anticipate it being available via the App Store by the end of next week.

WORK-AROUND: In the meantime, you can safely use the Number Pad option for data entry in lieu of the odometer picker. Select the Presets Tab at the bottom, choose Settings, and select Number Pad for the data entry.

Our apologies for the inconvenience.

FYI, this release also includes the option of HTML or CSV reports. And the reports will be email attachments so greater amounts of data can be exported in the report.

Quick HOW-TO for MileBug Beginners

First understand that the general idea is that you open MileBug right when you get in the car to go somewhere. You add a trip, enter the data including the starting odometer reading. Then you close it up and drive to your destination. When you arrive, open MileBug and it will automatically take you to the incomplete trip where you now simply enter the ending odometer reading and hit Save. Voila! Now it's in your Trip List.

For the simplest case, focus only on the Trips tab. Don't worry about the others right now. On the top right, there's a "+" button. Simply tap that to add a new trip. You'll see a new screen slide on with different fields for information about the new trip you're about to take. Simply tap on each one to either choose or enter the data for that field. For fields like Business, Destination, Vehicle, etc. you'll be adding a new one to the system by tapping "Add Preset" at the top of the screen that appears when you select Business or one of the others. Simply add the new one, and it will now appear in your set of Businesses, Vehicles, etc. that you can choose from for this trip and all future trips.

If you want to customize a few things, you can do this in the Presets tab. There you can choose among different settings, as well add/edit/move/delete your set of Businesses, Vehicles, Expense Categories, etc. Keep in mind that each business has it's own set of Destinations and Purposes.

You can have 24-hour time in MileBug!

MileBug uses the settings specified in the iPhone/iPod device settings. To change to 24-hour time, open the Settings app on your iPhone home screen. Tap General --> Date&Time, then turn on 24-hour time. Next time you open MileBug...voila! 24-hour time!

As far as format, you can set the format in the Settings app as well. Tap General --> International --> Region Format. Then select your desired region.

Apple has the city buzzing with 5000 attendees at the annual Worldwide Developers Conference (WWDC) going on today through Friday, June 8-12. The Moscone Convention center is dressed up with iPhone references and icons including the outside of the building!

Reports: Copy/Paste for Mac users best with Office 2004 or newer

Working with a customer, we determined that copying and pasting the emailed reports will work properly if the user either has Windows Office 2000 or newer, or Mac Office 2004 or newer.

Older versions result in all the data in one column in Excel or a running sentence/paragraph in Word.

How to Restore MileBug data from iTunes

An alert customer sent this in and another customer has already found it to be successful. I have not verified it myself, so I would appreciate feedback and additional guidance to other readers as you use this approach.

For MAC:

1) Just go to the directory, /Users/[username]/Library/Application Support/MobileSync, and you will see a folder called Backup.
2) Enter Time machine, and replace your backup folder with the most recent one from a time when all was well
3) go to your iPhone in iTunes, right click on it and select restore from backup...

For PC:
1) Save off the backup files as a copy somewhere
2) Connect your iPhone to the computer, but don't sync, cancel it if it starts automatically.
3) go to your iPhone in iTunes, right click on it and select restore from backup...

Editing Destinations and Purposes

It seems there's some confusion on how to edit, delete, and reorder destinations and purposes. So here's another blog post to help you out.

Simply select Businesses in the Presets. Then select the business that has the destinations and purposes you want to edit. You'll then be able to edit the business name and type/rate, as well as edit/delete/reorder the destinations and purposes for that business. It's that easy!

Reports: Date sorted...or Business/Vehicle sorted?

A couple users have inquired about why the emailed report is not sorted by date. However, upon closer examination, you'll see it is sorted by date...but within each business/vehicle.

When we were designing the report, we had to choose between listing all the trips by date, regardless of business, and listing the trips by business/vehicle. Since each business, and vehicle within a business, needs to be submitted separately to the IRS or to an employer, we opted for grouping the trips by business, then vehicle, sorted by date within a business/vehicle.

So if you look closely, you should see that all the trips for one business are together in chronological order, followed by the trips for the next business, and so forth. If multiple vehicles were used in one business, then the trips are sorted by vehicle first then date.

New IRS Rates: Effective January 1, 2009

The IRS has issued its new tax deduction rates for 2009. Come January 1st, please email yourselves a full report of your 2008 trips, and then clean out the Trips List. Then change the rates for your businesses/charities/medical/other categories to the following:

Basically, Apple has designated the iPhone/iPod Touch General Settings as the place to make "set once" choices that affect the behavior of an application. This is where the kilometers/miles setting can be found.

On the home screen, there is an icon labeled "Settings" that is gray and looks like a gear. Open "Settings" and scroll to the bottom of the screen. There you will see a selection for each application you have installed that has "set once" choices. MileBug will be listed, and by selecting it, you will find the following options:

1) Open To: (Trips List or Add Trip)
2) Measurement: (Kilometers or Miles)

So to use kilometers, simply select kilometers for the Measurement setting and return to MileBug.

No, you're not doing anything wrong. The data model changed in the update so you just need to reset your Type/Rate for each of your businesses. Here's what you do:

1) Change the rate on the business/charity/etc Type/Rate to something else and save it. Click "Change" if prompted.
2) Create a new TypeRate with the rate set to .585 (or the rate you want), keeping the old Type/Rate at some other value. Save.
3) Go into Businesses and select the new Type/Rate for each of your businesses/charities/etc. Save.

That should do it!

New App: Fingerspell now available!

For those of you interested in other languages, you'll be excited to know that Fingerspell is now available on the App Store! It's the latest app by Izatt International.

Fingerspell is designed to help you learn the American Sign Language alphabet. It has three modes: Reference, Flash Cards, and Word Play.

Reference provides all 26 signs on a single screen for quick reference, plus a tap on any one will zoom in to full screen. You can also turn on/off English letter labels, and flip between the full screen photos just like you do the photos in your albums!

Flash Cards plays all 26 photos in random order at the speed you specify. Each photo appears for a moment then the corresponding English letter appears.

Word Play lets you enter any word and have it signed back to you using the full-screen photos. You get to specify the speed!

Syncing Mileage Data: Apple's Restrictions

iTouch Users from all over have had trouble with many different applications freezing up and having to be reinstalled. Apple has now (hopefully) addressed this with the new upgrade to the iPhoneOS (2.1), for both iPhone and iPod Touch.

However, prior to this, many people have lost the data associated with their apps because of this. I have had a couple inquiries regarding the syncing of mileage logs to the home computer when the device syncs via iTunes. Problem...Apple doesn't allow it!

It's true! Developers are not able to write applications that sync/save data during the iTunes sync process. This is why you'll see a number of applications that email reports (like MileBug), use file transfer apps, or even build custom web sites that allow the backing up of data.

So while this is not the most desirable setup, it's what Apple has given us to live with. We have looked at building a web application that would allow MileBug users to back up their data, but it just hasn't happened yet. So for now, please periodically email yourself a report of your data. Making backups is a good habit for any software you use. Enjoy!

How to Delete Individual Trips

Two people have asked how to delete individual trips, so I thought that would make a great choice for a new blog entry. Simply edit the trip you wish to delete and scroll to the bottom. There is a large, red, "Delete Trip" button at the bottom. Press that and another "Delete Trip"/"Cancel" screen appears for confirmation. Press "Delete Trip" to confirm and your trip is gone!

To delete ALL your trips, just press the garbage can icon at the top left of the Trips List. You will have to confirm it, but remember it cannot be undone! I recommend emailing yourself a report of all your data first, but this is a great way to start fresh each month, quarter, year, or whenever you want.

Reordering Presets: A hidden feature

A wonderful little feature in MileBug is the ability to reorder the presets. So if you change jobs, or start a new business, and want that one at the top...no problem!

It all happens inside the Presets Manager (left button on the tab bar at the bottom). Just place your finger on the 3 horizontal lines to the far right of the business (or other preset) you want to move and drag it to the place you want it. Voila!

This is true for all the presets: Businesses (including Charities and Personal Medical), Destinations, Purposes, and Vehicles.

And, in case you didn't know, you can also delete presets, too. Just press the red circle to the left of the item you want to delete and a Delete button will appear. Press Delete, and it's gone! (Be aware: no undo!)

MileBug Reports: HOW and WHAT

There have been a couple of inquiries regarding the reports feature of MileBug, so I thought I would describe the HOW as well as provide an example of WHAT it produces. First, to access the reports, simply click the Reports tab at the bottom of the application. You will be brought to this screen.

Once here, you can select the date range you wish for the report. The default is the last 30 days. Then choose a single business or ALL businesses, and likewise a single vehicle or ALL vehicles. Click the Send button at the top right and your email program will open up.

You may choose to email the report to whomever you wish and with whatever subject you wish. You may also add text to the body of the message, but it is highly recommended you add only to the top of the message unless you're very comfortable with HTML.

Once the report arrives in your email Inbox, you can read the enclosed instructions for a nice styled report (via HTML) or an Excel report which allows you to manage the data how you wish. Basically, just select and copy all the text beginning with Tax Deductible Mileage Report and paste it into Word for a styled report, or paste it into Excel for a spreadsheet. For the best experience in Word, simply select File-->Page Setup and choose Landscape. Excel just requires some adjusting to the column and row size.

Here's a sample report pasted into Word, and the same report pasted into Excel.

There are two sections: Summary and Detail. Both are grouped by business and grouped by vehicle within business, to make it the easiest for filing tax forms for each business/charity. The last column is Type: B-Business, C-Charity, M-Medical.

iPhone GPS: Why NOT use it for mileage tracking?

When we first designed MileBug, our intent was to use the new GPS feature of the iPhone 3G to track mileage. It would require less effort and provide more accuracy in case of IRS audit. Unfortunately the iPhone will not allow 3rd party apps, like MileBug, to run in the background.

So while we thought it would be great for a user to simply turn on MileBug at the start of a trip and have the whole trip mapped, we realized that if the user chose to do anything else with their phone (take a call, use maps, pass to passenger to play a game, etc) then the pathway during that activity would be lost! Why? Because in order to answer/place a call, get directions, or play a game, the mileage app would be shutdown. We could always pick back up once the user restarted the app after the other activity, but where would that leave the user...with a gap in the trip! And what if they forgot to restart? It's fairly easy to go back and fill in odometer readings, but a little more challenging to go back and fill in GPS coordinates.

We also considered having a simple GPS start point and end point and let Google Maps calculate the route. That may still be an option, but it serves the IRS more than the user. That is, Google Maps will calculate the shortest route, and thus the smallest deduction. What if you got lost and spent another 5 miles wandering? Or if you were given different directions, other than the shortest route? The start/stop GPS points would cheat you out of the deduction you truly deserved.

The Presets: Easy selection for easy trip recording

When we designed MileBug, we decided to go with the same idea as your car radio preset buttons. There's generally a lot of writing when miles are tracked in a notepad and we wanted to eliminate as much of that as possible. So we created the Presets. You can setup multiple businesses, multiple destinations and purposes per business, and even multiple vehicles. Each one is a simple selection when recording a trip.

We also didn't want the presets to be required. They are wonderfully useful for those who have a lot of details to keep track of. But we also wanted MileBug to be simple to use from the get go. So if you want to set up your businesses and common destinations up front, you can. If you want to dive in and use it, you can do that, too. New businesses can be added on the fly, as can destinations, purposes, and vehicles.

Under the Presets tab, you can manage your lists as well. They can be edited, reordered, added to, and removed. Businesses can be of 3 different types: Business, Charity, Medical. Each one has the corresponding IRS deduction rate associated with it. In an upcoming release, there will also be a "Personal" category for those wishing to track their personal miles. There will also be the option of setting your own custom rates per category.

We're really excited to be sharing MileBug with you now via the App Store! What a great way to expand the iPhone and the iPod Touch with so many quality apps (and some not so quality). And now we are a part of it!
